Whether you’re a new patient preparing for your first visit or a returning patient managing ongoing care, we’re here to make every step easier. In this section, you’ll find everything you need to manage appointments, request refills, understand your insurance and billing, access your records, and prepare for lab work.

Our goal is to provide accessible, patient-first care with transparency, compassion, and support. If you have questions at any point, our team is just a phone call—or portal message—away.

Billing & Insurance

Make a Payment

At Texas Diabetes & Endocrinology, we offer multiple convenient payment options, including Auto Pay. With Auto Pay, your credit card is securely stored in an encrypted environment, ensuring your payments are processed on time with no extra hassle.

How to Set Up Auto Pay on Phreesia:

  1. Enter your credit card information during your Phreesia online check-in.
  2. Choose to save it for future use.
  3. Sign the card-on-file policy, which includes a maximum amount we can charge—never more.

Before charging your card, we’ll notify you of the upcoming payment and send you a receipt once it’s processed.

Payment Expectations

Payment is due at the time of service for:

  • Copays, coinsurance, or deductibles required by your insurance
  • 20% coinsurance after Medicare
  • Full balance if uninsured
  • Patient balances after insurance processing (due within 30 days)

Note: We accept Medicare & Medicare Advantage plans for existing patients only. Effective 12/23/25, we will no longer accept Aetna insurance.

Referrals & Insurance Authorization

  • We require a referral from your PCP as a new patient, especially because endocrinologists are in limited supply in this region.
  • Some insurance plans need authorization in addition to a referral—check with your insurer.
  • For existing patients needing additional authorization (e.g., extended treatment), ask your PCP to submit it at least one week in advance; we cannot guarantee backdated authorizations.

Emergency & After-Hours Support

If you’re experiencing a life-threatening emergency, call 911 immediately.

For urgent medical questions outside of regular business hours, call our main number: (512) 458-8400 and press Option 8. This will connect you with our on-call answering service.

Please be prepared to leave:

  • Your full name
  • Date of birth
  • A brief description of your medical concern

An on-call physician will return your call or text. Please note that the responding provider may not be your usual doctor.

This after-hours service is only available during lunch breaks, evenings, weekends, and holidays.

Test Results

What You Need to Know

Lab testing is a vital part of managing chronic conditions. Please have your labs drawn at least 1-2 weeks before your appointment to ensure results are available for discussion.

TDE does not offer in-office lab draws. Please visit the lab of your choice as listed on your order form.

Check your order to see if fasting is required—if it says “fasting,” avoid food and drink (except water) after midnight before your draw. All lipid panels require fasting.

Labs Between Visits

If labs are ordered outside your appointment:

  • Allow 10 business days for processing. Results will be sent through the patient portal upon receipt
  • If results are abnormal, a Medical Assistant will contact you with next steps
  • If results are normal, you’ll receive a written summary and a copy for your records

When You’ll Get Results

  • Most lab results return within a few days
  • Advanced testing (e.g., lipid panels) may take up to 2 weeks
  • Results are sent through the patient portal upon receipt & interpreted/reviewed during your scheduled appointment
  • Labs are not discussed early unless requested by your provider

Insurance & Billing Notes

  • If your insurance requires a specific lab (e.g., Quest, LabCorp), let us know
  • TDE does not bill for labs—you’ll receive a bill directly from the lab
  • Questions about coverage? Contact your insurance company with the test name and diagnosis code

Medication Refills

What You Need to Know

We recommend refilling prescriptions during your office visit. If you run out between visits:

  • Call your pharmacy to request a refill
  • The pharmacy will contact our office for authorization
  • Allow up to 72 hours for processing
  • If pre-authorization is required, insurance may take up to 30 days
  • If your refill is denied, you will need to schedule an appointment

We send prescriptions electronically. If using mail-order, please note you are responsible for requesting shipment when needed.

Requesting Your Records

  • Complete the Authorization for Release of Records form
  • If receiving via email, also complete the Email Consent Form
  • Electronic copies can be sent by email or CD
  • TDE provides USB or CD if needed
  • There is no fee for a single item (e.g., lab result or visit note)

Fees for Records

  • $6.50 for electronic records or $10 for paper records
  • $15 affidavit fee for attorney-requested records
  • $25 for first 20 pages requested by insurance companies
  • $0.50 for each additional page beyond 20

TDE cannot request records from other providers (unless it’s your referring doctor). Please contact your former provider directly.

Laboratory Orders

Getting Your Lab Order

You’ll receive a digital copy of your lab results in the Patient Portal.

If you use Quest, LabCorp, or Babson Diagnostics, please notify us so we can route your order accordingly. Clinical Pathology Labs (CPL) accepts all portal-based lab orders.
